In view of the Mayor’s busy schedule, it is essential that invitations are sent to his PA well in advance of the event, preferably in writing. Invitations should outline the Mayor’s role at the function, purpose for his visit and should also indicate if a speech is required. If so, full details of the event/organisation must be provided together with a brief outline of all the points you wish the Mayor to cover. The Mayor should not be called upon to speak or take an active part in any function he is attending, unless advised previously. When speeches are to be made, the Mayor should be invited to speak first. The organiser of the event or a designated person should meet the Mayor on arrival and escort him throughout his visit. Any subsequent changes to arrangements should be confirmed as soon as possible to the Mayor’s PA. Should the Mayor not be available for an engagement, his PA will try to arrange for the Deputy Mayor to attend in his place.
